AiroDental Pulse Privacy Policy

This policy describes how AiroDental Pulse handles the accounting data your practice connects. It supplements the AiroDental Privacy Policy, which applies to AiroDental as a whole. Where the two differ on AiroDental Pulse, this policy controls.

1. About AiroDental Pulse

AiroDental LLC ("AiroDental," "we," "our," or "us") operates AiroDental Pulse, a reporting tool for dental practices. A practice owner or administrator can connect the practice's accounting system, such as QuickBooks Online or Xero. Pulse then shows the practice its profit and loss by account and by month. Connecting is optional, and only the practice decides whether to connect.

2. Who Can Connect and See the Data

Only an owner or administrator of the practice's AiroDental account can connect or disconnect an accounting system and see the reports. Other team members cannot. A small number of AiroDental staff can view a practice's reports to provide support, under access controls.

3. Information We Access and Store

When you connect, you sign in to your accounting provider and approve access there. AiroDental never sees your accounting password. Pulse reads, and does not change, your accounting data. We store:

• The name and identifier of the connected company
• Your chart of accounts: each account's name, number, and type
• Monthly profit and loss totals for each account, for the current month and up to the 12 months before it
• The access credentials (tokens) the provider issues for the connection
• The time of each update and, if an update fails, a short error code

4. Information We Do Not Collect

Pulse reads monthly totals only. It does not collect or store:

• Individual transactions, invoices, bills, or their descriptions and notes
• Customer, vendor, or contact records
• Bank account numbers, card numbers, or bank feeds
• Payroll records or employee details
• Patient information of any kind

5. How We Use Accounting Data

• To show your practice its own reports in AiroDental Pulse
• To keep those reports current, by updating them automatically each day
• To support your account when you ask us for help

We do not sell your accounting data. We do not use it for advertising. We do not use it to train artificial intelligence models. We do not share one practice's figures with another practice.

6. Sharing

We share accounting data only with the service providers that host and operate AiroDental, under contracts that limit their use of it, and when the law requires it. Our current providers are listed on the Subprocessors page.

7. Data Security

• Encryption of data in transit
• Access credentials encrypted at rest with AES-256-GCM
• Read-only use of the accounting connection
• Access limited to the practice's owners and administrators, and to authorized AiroDental staff
• Each practice's data kept separate from every other practice's

8. Disconnecting, Retention, and Deletion

You can disconnect at any time from AiroDental Pulse, or from the connected apps settings in QuickBooks Online or Xero. When you disconnect in Pulse, we revoke the connection with the provider and delete its access credentials. Monthly figures already collected stay in your account so your reports remain available. To have those figures deleted, contact us at the address below, and we will delete them unless the law requires us to keep them. When your practice's AiroDental account is deleted, its accounting data is deleted with it.

9. Accounting Providers

Your accounting provider handles your data under its own terms and privacy policy. QuickBooks is a trademark of Intuit Inc. Xero is a trademark of Xero Limited. AiroDental is not affiliated with, endorsed by, or sponsored by Intuit or Xero.
