Saige Privacy Policy

This policy describes how Saige handles data. It supplements the AiroDental Privacy Policy, which applies to AiroDental as a whole. Where the two differ on Saige, this policy controls.

1. About Saige

AiroDental LLC ("AiroDental," "we," "our," or "us") operates Saige, our platform for running a dental practice: knowledge, standard operating procedures, training, and tasks. We are committed to keeping your practice's data private, secure, and fully under your control.

2. Practice-Specific AI Training

All AI training within Saige is scoped exclusively to your practice. Documents you upload are used to build a private knowledge base that is accessible only to your organization. Your training data is never shared with, visible to, or used to train models for other practices. Each practice operates with a completely isolated knowledge base, and no cross-practice data leakage occurs.

3. Document Storage and Security

Documents uploaded to Saige, including PDFs, Word documents, and text files, are stored securely in our cloud storage infrastructure, organized and isolated by practice. We employ the following safeguards:

• All documents are encrypted in transit and at rest
• Storage is scoped by organization, so your files are accessible only to authorized members of your practice
• Content deduplication uses secure hashing to prevent redundant storage without exposing file contents
• You retain full control to delete any document at any time, which removes both the stored file and all associated training data

4. Google Drive Integration

Saige offers an optional Google Drive integration so you can import documents directly from your Drive. This integration operates under the following principles:

• We request read-only access to your Google Drive, so we cannot modify, delete, or create files in your Drive
• Access is used solely to import files you explicitly select into your Saige knowledge base
• We do not browse, index, or store your Google Drive contents beyond the specific files you choose to import
• You can disconnect your Google Drive at any time, which immediately revokes our access
• OAuth tokens are stored securely and scoped to your organization

5. AI Processing and Data Usage

When Saige processes your documents for training, the content is extracted, split into manageable segments, and converted into numerical representations (embeddings) for retrieval. Your document content is:

• Never used to train general-purpose AI models
• Never shared with third parties beyond the secure processing services required to generate embeddings
• Stored only within your practice's isolated environment in our database
• Used exclusively to answer queries made by members of your practice

6. Personal Documents

Where Saige supports personal documents that belong to an individual staff member, those documents travel with the staff member and are kept separate from the organization's shared knowledge base.

7. Data Retention and Deletion

We retain your documents and their associated training data for as long as your practice keeps them in Saige. Deleting a document removes both the stored file and the training data derived from it. We retain data beyond that only where required to meet legal obligations.
