Patient Payment Terms
These Patient Payment Terms (the “Terms”) apply when you pay a dental practice through AiroDental Pay. AiroDental provides the software the practice uses to send you a payment link, show you a treatment plan, and take your payment. A third-party payment provider processes your card and moves the money to the practice. Your payment goes to the dental practice, not to AiroDental. Your card details go to the payment provider and do not reach the practice or AiroDental. When you make a payment, you agree to these Terms.
1. Authorizing a payment
When you enter your card and confirm a payment, you authorize a charge to your card for the amount shown before you confirm. The amount you owe for treatment is set by your dental practice and by your insurance, and the amounts you see are estimates until your insurance finishes processing the claim. Your insurance may pay more or less than the estimate, and the practice will adjust what you owe if it does.
2. Saving a card for a payment plan
If you choose a payment plan, you agree to a down payment today and to a set of scheduled payments after that. Before you sign, the plan shows you the total, the amount of each payment, the number of payments, and the date of the first scheduled payment. When you sign and pay the down payment, you authorize the practice to securely save your card with the payment provider and to charge it for each scheduled payment on its due date, until the plan is paid in full or you cancel it.
You can change or cancel a payment plan at any time by contacting the practice. Ask the practice to update your plan at least three business days before the next scheduled payment, so the change takes effect in time. If a scheduled payment does not go through, the practice may try the charge again over the following days and will contact you. Canceling a plan does not cancel what you still owe for treatment you received.
3. Your receipt and saved card
After a payment, you receive a receipt that shows the amount, the date, and the last four digits of the card used. AiroDental never sees or stores your full card number. The payment provider stores your card securely to the standards of the card networks (PCI DSS).
4. Refunds
Refunds are handled by your dental practice. A refund goes back to the same card you used to pay. The practice can refund all or part of a payment, up to the amount you paid. The time for a refund to appear on your statement depends on your card issuer, and is usually a few business days. If a fee was added to your payment at checkout and the practice refunds the payment, the practice tells you how that fee is handled.
5. Questions about a charge
If you have a question about a charge, or you think a charge is wrong, contact your dental practice first. Most questions are fastest to fix with the practice, because the practice sets the amount, holds your record, and issues refunds. If you dispute a charge with your card issuer instead (a “chargeback”), the practice and its payment provider handle the dispute with your issuer, and you still owe any balance for treatment you received.
6. Fees added at checkout
Some practices add a fee to card payments where the law and the card network rules allow it. If a practice does, the fee is shown to you before you confirm, as a separate line, and you acknowledge it before the payment goes through. A fee like this never applies to a debit card. If you do not see a fee at checkout, none applies to your payment.
7. Signing electronically
When you sign a treatment plan or a payment authorization on screen, you sign electronically. Your electronic signature has the same legal effect as a signature on paper. The Electronic Records and Signatures Consent explains your rights, including your right to a paper copy and your right to withdraw consent.
